Administrative users can:
· Add an unlimited number of additional users to a library’s Bibz account.
· Specify the cataloging and processing profiles the users may access in the order creation process.
· Assign the users to families.
· Control user list access levels in each family of which they are part.
· Indicate whether users are authorized to submit orders.
· Assign Grid Templates, Branches and Fund Codes.
To add a new user to Bibz:
1. Click on the Profile: User Management screen. A new screen displays allowing you to establish user information and assignments.
2. Type the new Username.
NOTE: Bibz will not allow assignment of a username already in use on the Bibz system. Brodart recommends that you use a consistent convention for usernames that identifies the library, followed by a sequential number for each user, such as YOURLIBRARY001, YOURLIBRARY002, etc.
3. Enter the user’s Last Name, First Name, and E-mail address.
4. Type a Password for the user and enter the same password again in the Confirm Password field. The password does not display but is obscured by bullets. Note that passwords MUST be a minimum of 6 characters.
5. Click the checkbox in the column if the user is authorized to submit orders; leave blank if user does not have ordering privileges.
6. Click the checkbox in the column if the user is to have Administrative privileges; leave blank for a Non-administrative user.
7. If FTP MARC Download (available from System Settings) is set-up and the user is authorized, click the checkbox in the column; leave blank if user is not to have FTP MARC Download privileges.
8. If your library uses grid templates, the established branch codes will display. Assign which branch codes the user is authorized to use by clicking on the associated checkbox(es).
Note that when a branch is selected, the screen refreshes and displays all processing profiles related to the selected branch. You can click the Select All checkbox to quickly assign access to all branch codes.
9. Select the processing profiles that the user is authorized to use by clicking on the associated checkbox(es). A profile includes cataloging and/or processing instructions established for your library system with Brodart.
Note that you can click the Select All checkbox to quickly assign access to all processing profiles.
10. Select one of the profiles as the user’s default profile. Click the Default radio button at the right side of the screen to make your selection. You should select the user’s most frequently used processing profile.
11. If your library uses grid templates, the established fund codes will display. Assign which fund codes the user is authorized to use by clicking on the associated checkbox(es).
You can click the Select All checkbox to quickly assign access to all fund codes.
12. If families are established, click the appropriate checkbox(es) in the Families portion of the screen to select the family(ies) the user will be a member of, if any.
13. Select the user’s level of access for each family selected. The options are:
A user with Read-Only access:
· Can create personal lists.
· Can view lists shared by other users.
· Cannot add or delete titles on lists shared by other users.
A user with Quantity Update access:
· Can create personal lists.
· Can update/change order line attributes on lists shared by other users if the user has those attributes assigned.
· Cannot add or delete titles on lists shared by other users.
· Add a new or existing grid template that the user has authority to use.
Example: If a list includes titles with the Adult Books profile and titles with the Juvenile Books profile, someone who has been authorized to use only the Juvenile Books profile can make changes to those titles, but not to titles with the Adult Books profile.
A user with Full access:
· Can create personal lists.
· Can update/change order line attributes on lists shared by other users if the user has those attributes assigned.
· Can add or delete titles from a list created within the family.
NOTE: Full-access shared lists can be further shared (i.e. List is created by Central, Central shares with branches, branch coordinator further shares with Acquisitions for order submission). Use with caution! If a third or fourth tiered "sharer" deletes the list, it deletes the list for everyone.
14. If your library uses grid templates, the established grid templates will display. Assign which grid templates the user is authorized to use by clicking on the associated checkbox(es).
You can click the Select All checkbox to quickly assign access to all grid templates.
15. Click to save the new user’s information.
Note that if Last Name, First Name and E-mail match an existing user, a newly created user will become an additional login (see below for more information).
