Bibz grids allow users to quickly and easily select titles for multiple branches at one time, specifying quantities, processing profiles, collection, fund, etc., by applying a predefined grid template on the Search Results screen. Users can accept the predefined grid entries, but Bibz grids provide users with complete flexibility to change the predefined values on a branch-by-branch (or even copy-by-copy) basis. You can apply a grid template on the Search Results screen (described here) or on the OpenList screen.
In addition, Bibz grids are designed to work with your ILS.
NOTE: If you use a grid template when selecting titles, you can create MARC records that contain all of the information entered in the grid, including the number of copies for each branch, the funds the titles will be billed against, etc. When you perform the Download MARC Records process on the List: OpenList screen, all of the details will be included in the download and can be transferred to your ILS.
Grid templates are established by Administrators.
Example: An Administrator might know that whenever a childrens title is selected, two hardcover copies should be ordered for each of ten branches. The Administrator can define a grid template (perhaps named Juvenile Books) that will make selecting those copies and adding them to a list extremely fast and convenient for the user. The grid template will include a list of the ten branches, with the quantity (2) preselected. The grid template can also include predefined selections for the processing profile, the collection the titles should be added to, the format (book, CD, videotape), the fund, etc.
When a juvenile selector performs a search and selects a title, that user can then apply the Juvenile Books grid template. The list of ten branches displays on the Search Results screen, with the predefined values already entered. The selector can accept the defaults, make changes to any of the predefined values (provided access to all grid properties has been assigned), or even add additional rows to the grid. (You might add a line to a grid, for example, to order an additional copy of a Juvenile book for the Young Adult collection with a different processing profile.)
When the user adds the selected titles to a list, all of the selections in the grid are added as well. (Alternately, a grid template can be applied to titles that have already been added to a list.)
Individual lines on a grid may be disabled depending on user access level and the profiles the user is authorized to use.
1. Select one or more titles on the Search Results screen by clicking in the checkbox(es) left of the title or by clicking the checkbox in the header section.
2. Select a grid from the Grid Template: drop-down box.
3. Click . The grid template displays beneath the selected titles in Brief display, beneath Bib No. in Expanded display, and beneath Annotations/Reviews* in Title Detail display.
4. Accept the default values or change the entries as needed by clicking within the grid cells. Make new selections in any of the grid fields and/or change entered quantities.
To add an additional grid line, select New Grid from the Grid Template: drop-down box and click . Users will be brought to an interim screen where additional lines can be added and values set; click
to apply to selected titles. You might add a line to a grid to order an additional copy of a book with a different processing profile. (If you add lines for a selected title, the original grid template remains unchanged.)
If you attach a grid by mistake, select which grid line(s) you wish to remove, and then select Delete Selected Grid Lines from the Actions drop-down box and click . Remember that if you do not have access to grid properties, you will not be able to delete applied grid lines. Note that if you have invalid grid values, they will be displayed in red with invalid notation (AF – invalid). To edit these invalid codes, click the control and select valid code.
NOTE: Make entries in individual fields, or click the drop-fill (6) button at the top of a column to copy the entry from the first row into every row in the column.
5. When you add selected titles to a list, the entire grid will be added to the list as well.
The grid template fields are:
Enter a quantity for each branch. You can enter the same quantity for every branch or different quantities for different branches. Note that you can specify a quantity of zero (0).
Enter a branch code, established by your ILS, to identify the branch or branch/account. If you do not have access this will be in read-only display.
Select the cataloging and/or processing profile to be used for each branch (or copy). If you do not have access this will be in read-only display.
Select the library collection to which the titles should be added (for example, Juvenile, Young Adult, Adult fiction, etc.).
Select the type of format for each branch.
Select the ILS fund code for each branch. If you do not have access this will be in read-only display.
Order line level free text note field.
Your library system will establish the use of this field in advance with Brodart. Contact your Bibz Administrator for more information.
Your library system may choose to enter custom call number information in this field. If Brodart creates MARC records for your library system, the data entered in this field can be included in that record.
